- A Zoom plan that supports Cloud Recording
Pro, Business, Enterprise. The free plan does not support Cloud Recordings. - Cloud Recording switched on
Zoom Admin → Account Management → Account Settings → Recording → Cloud Recording. - Calendar events that contain the Zoom meeting link
Moonbase reads the URL (including Personal Meeting Room links) inside the invite to match the finished recording.
Heads‑up: If Cloud Recording is off or the host forgets to start it, nothing reaches Moonbase.
One‑time connection steps
- In Moonbase, open Settings → Conference Solutions → New Conference Solution.
- Click Zoom and then Create.
- Sign in with a Zoom host/admin account and approve the requested scopes.
- You’ll land back in Moonbase with the message “Zoom connected successfully.”
How matching works
- Scheduled meeting with a unique Zoom link → Moonbase looks for that exact URL.
- Personal Meeting Room (PMI) → Moonbase pairs the PMI link and the meeting’s start/end time window.
- If two recordings could match, the one whose start time is closest to the calendar event wins.
What you’ll see in Moonbase
- ▶ Embedded video player – watch without leaving Moonbase.
- 📝 Interactive transcript – click any sentence to jump the video.
- 🤖 AI‑generated summary – key points & next steps in seconds.
- 📊 Talk‑time analytics – who spoke (and for how long) by participant and organization.
Best‑practice checklist
- Turn on “Automatically record meetings to the cloud” in Zoom.
- Always paste the Zoom link into the calendar invite body.
- Give each rep a unique meeting ID or leave buffer time between PMI sessions.
- Re‑authorize Zoom in Moonbase → Settings if you ever change Zoom permissions.
How to remove and disconnect Zoom from Moonbase
- In Moonbase, open Settings → Conference Solutions
- Click on the Zoom connection you wish to remove and disconnect
- Click Delete Conference Solution
- Confirm deletion when request in the dialog
Troubleshooting
Recording never appearsCloud Recording was disabled or the host recorded locally. Enable Cloud Recording and record again. Recording stuck in “Processing”
Zoom is still rendering. Large or long meetings simply need more time. Duplicate recordings
The same Zoom link was reused back‑to‑back. Use unique IDs or add calendar buffers. Transcript missing / low quality
Overlapping speakers or background noise. Encourage muting and headsets.
